Since the announcement of a delayed launch for SHIFT in May, significant progress has been made behind the scenes. Here's an update on the latest developments:
Standard Operating Procedures (SOPs): We have conducted a detailed review of our SOPs and finalized them to ensure smooth operations.
Customer Service Portal: The new customer service portal, "Facilities Service Central," has been developed and named, offering a centralized platform for service requests.
Financial Transactions Interface: In collaboration with the Elevate team, we are creating a Workday interface for financial transactions. This interface will ensure accurate billing for work orders and projects, manage purchase orders for supplies and services, and facilitate seamless financial information exchange between Workday and AssetWorks.
System Testing: Comprehensive testing is underway to ensure a fully functional system. Teams are meticulously reviewing and planning the remaining areas of testing, including User Acceptance Testing and End-to-End (full process) testing.
Training Preparation: Training cohorts are being created, and schedules are being planned. Training will be role-specific, occurring 1-2 months before the launch date. For example, service technicians will train to use the GO app for updating time, materials, and notes in the field. Training will be conducted both in-person and online, with resources such as videos, training guides, and operating procedures available. Open houses will be held during and after go-live to address specific questions from FM staff.
Project Schedule Alignment: We are aligning the remaining project schedule with campus needs, including the Workday launch. This involves completing necessary testing, scheduling sufficient training time, and ensuring integration with Workday for financial connections related to work orders and projects.
