Key Access for Contractors

Contractors have access to FM’s Traka Key box at the Severn Building. The electronic key management system provides 24/7 key access, increases efficiency, and helps secure, manage, and audit the use of every key.

Using the kiosk is simple, and training is quick. Here’s what you need to know about getting your contractors started with the system:

  • Staff who manage contractor activities will need to request access via our online form before a key access card can be issued.
  • Once the CRC receives a request for contractor access, they will issue a key access card and let you know when your contractor can pick it up.
  • CRC staff will walk contractors through the process for using key access cards and answer questions when cards are picked up. We have also prepared a brief online presentation that contractors can use to familiarize themselves with the system.
  • The key access cards issued to contractors will provide access to the gate at Severn, the Severn Building, and the key box.
  • If a contractor experiences issues while trying to use the key box, they can call the CRC for assistance. CRC Key Control Staff are available in person 6 a.m.- 6 p.m., Monday - Friday for support. Instructions for how to reach the CRC outside normal business hours are provided at the key box.

After March 1, 2026, support for contractor key access will be limited, and FM contractors will be expected to use the Traka system independently for key release and return.

  • Affiliate Cards will be required for contractor key access. Contractors must obtain a University Affiliate Card before they can be issued keys.
  • Project Managers will assist contractors with obtaining Affiliate Cards. Please plan ahead so contractors can complete this step before work begins.
  • Once a contractor has an Affiliate Card and access has been approved, they will be able to use the Traka Keybox for key access, consistent with current processes.
  • After March 1, 2026, no staff will be available to assist with the release of keys. Contractors will be expected to use the Traka system independently.
  • If a contractor experiences an issue with key access, they should call the CRC at 301-405-2222.
