SHIFT Update: November 2023

Good morning Facilities Team,

Temperatures may have cooled down outside, but the heat is on with AssetWorks as we continue to implement our new Integrated Workplace Management System. We are excited to share another update with you.

Call for Trainers & Testers
Are you itching to get a sneak peek at the AssetWorks system and try it out? Or do you have a knack for assisting others with learning new systems and tools? Either way, we’d love to hear from you! SHIFT is currently looking for system testers and trainers. To nominate yourself or another staff member, please use this form or contact us at shift@umd.edu.

Accomplishments:

  • System setup for the Operations and Maintenance (O&M) module has been completed and we are now preparing for User Acceptance Training (UAT). This is your chance to test our system!
  • “Behind the scenes” work processes have been completed for the Space and Property Management module. More than 500 buildings and over 50,000 rooms have been entered into the module and non-building locations, such as benches and fountains, will be loaded in the coming weeks.
  • Over 19,000 assets have been uploaded into AssetWorks, from FM, Dining, RecWell, and STAMP.
  • The ReADY Request module has begun. This customer service portal has an easy-to-use, responsive website and provides real-time updates as tickets are assigned and work is completed. 
  • The ReADY Space module’s kickoff was completed. This innovative tool has a floor plan viewer that allows users to quickly, and virtually(!), measure spatial area within individual rooms. 
  • The Keys and Access Control module has launched with new campus partners including the University of Maryland Police Department.

Coming up:

  • We are currently focused on work ticket billing in AssetWorks.
  • We are continuing to develop the buttons our customers will click in the ReADY Request service portal. 
  • User Acceptance Training is coming up early in the new year. This is another chance for YOU to get involved!

Elevate/Workday Alignment
Due to the Workday delay, we anticipate that the launch of AssetWorks, our new work management system, will be dependent on the launch of Elevate. AssetWorks will be fully integrated with Workday when it is launched. This is good news for us in facilities because it means that we won’t have to wait to integrate AssetWorks to Workday. However, it also means that both systems will require training time for your teams during a common window. Please plan ahead and use the time we have now to prepare for the launch of these two enterprise systems.
