What services does Fleet Services provide?
Fleet Services offers 24/7 vehicle rentals and electric vehicle charging at the Regents Drive Garage. In-person office hours are available at the Department of Transportation Office from 8:15am–4:00pm.
Why should I rent a fleet vehicle instead of using my personal vehicle?
Rental costs are often lower than personal vehicle reimbursement. Rentals also include liability coverage, fuel for short-term rentals, up-to-date maintenance, and access to newer, more sustainable vehicles—including EVs.
What has changed to make rentals more convenient?
The rental fleet is now located on campus at the Regents Drive Garage with a 24/7 kiosk for key pickup and drop off. Reservations can be made in advance, or you can “grab and go” for immediate use.
Where do I park my personal vehicle while using a rental?
Clients should use their assigned campus parking permit. If you do not have a campus parking permit, you will need to plan accordingly. Paid visitor parking is available on the top level of Regents Garage.
Are the rental vehicles newer now?
Yes. Most vehicles are 2019 or newer, including electric vehicle options.
How do I rent for the first time?
You must register through the Rental Portal which sits behind the University security system CAS available from DIVIT. Once approved, you can start making reservations and using the kiosk for Pickup/Dropoff and Grab and Go access. Are there instructions for making reservations or using the kiosk?
Yes. See the Fleet Services Client Guide for Vehicle Rental at Regents Garage for instructions on reservations, grab-and-go, key returns, and more.
Can I print my reservations?
Yes. In the portal, click My Reports from the left navigation of the portal to print upcoming, completed, or all reservations.
Is there an easy way to add multiple similar reservations?
Yes. Use Submit and Make Similar to duplicate details from your current reservation into the next.
Can someone make reservations for me?
Yes. Both the requester and driver must be approved users. When making the reservation, your assistant must select “This Request is for your UserID.”
Can someone else return my rental key to the kiosk?
Yes, but they must be an approved user and they must have your reservation number. They can use Check in Any Key at the kiosk. Instructions for this can be found in the section “Check in Any Key” in the Fleet Services Client Guide for Vehicle Rental at Regents Garage.
Do I have to pay for fuel with my rental?
Fuel is included for rentals under 3 months. Vehicles include a fuel card (or RFID card for EV charging).
Do I need to return the vehicle with a full tank?
No. If fuel is very low, leave a note in the check-in comments. As a courtesy, filling the tank when below half is appreciated but not required.
What should I know before renting an electric vehicle?
The current rental vehicles have longer range batteries that can go up to 300 miles. However, driving conditions, weather and heating/cooling come into play when determining available range. When traveling with the EV, you should plan for charging based on your itinerary.
For trips in the general area of the University and up to 100 miles away, the electric vehicle should not need to be charged during your round trip. Longer round trips may need charging.
Ford electric vehicles can charge on the Blue Oval Network and available stations can be found using the in-vehicle console. Additionally, RFID cards are provided with the rental that allows access to the Wex network of charging stations.
Is in-person assistance available?
Yes. Call 301-405-5482 or visit the Rental Office at Regents Garage during business hours – 8:15 to 4pm. The rental office is located inside the Department of Transportation office (attached to Regents Garage) located at 8056 Regents Drive.
Where are rental vehicles located?
On the ground floor of Regents Garage in clearly marked Fleet Services parking spaces.
Where is the rental kiosk located?
On the ground floor of Regents Garage, near the elevator at the corner of Fieldhouse Drive and Regents Drive.
I’m having an issue at the kiosk, what should I do?
Call 301-347-8301 (number also appears on the kiosk), visit the rental office outside and to the left of the Kiosk, or consult the Fleet Services Client Guide for Vehicle Rental at Regents Garage.
The vehicle had a problem; how do I report this?
Use the comment box during check-in to describe the issue. Fleet Services receives the note immediately.
What if the type of vehicle I need is unavailable?
Call the Rental Office at 301-405-5482 for assistance and alternative options.
What should I do if I’m in an accident with a rental vehicle?
- Call 911 and report the accident to police.
- Notify Fleet Services at 301-405-5482. Obtain a police accident report.
- Fleet Services can provide necessary forms and guidance. For additional guidelines see the Fleet Services Website.
Are golf carts available for rent?
Yes. Keys must be picked up and dropped off at the Rental Office (not the kiosk).
- Reserve 1 week in advance for regular or summer rentals.
- Reserve 2 weeks in advance for event rentals requiring 20+ carts.
Can I rent specialty vehicles?
Yes. Specialty vehicles (e.g., premium SUVs, box trucks with lift gates) are available with advance coordination and pickup from the Rental Office.
How does key return work at the kiosk?
Returning a key ends the reservation and stops billing. Incorrect returns keep the reservation open and impact other clients. Instructions are at the kiosk and in the Fleet Services Client Guide for Vehicle Rental at Regents Garage.
Where should I park the rental vehicle when returning it?
Fleet Services shares the Regents Garage space with many others who use the garage for parking. Please be considerate and only return your rental vehicle to the Fleet Services Parking area in any of the numbered spaces, 1-63. This area is clearly marked with directions inside the garage.
What Rental Etiquette should I be aware of?
To ensure a positive experience for all clients:
- Pick up and return vehicles on time.
- Remove all trash before returning the vehicle.
- Excessive dirt/spills may result in cleaning fees.
- Smoking is prohibited in all UMD vehicles.
- Follow the Driving Rules for University of Maryland Vehicles
Can Undergraduate Student Rental Vehicles?
Undergraduates will only have access to the Rental Portal and kiosk as drivers.
A faculty/staff member must reserve vehicles for student travel.
Exceptions require written faculty/staff approval accepting responsibility and must be coordinated with Fleet Services.
